Information processed
We process login identifiers and verification/session information; your CVs and uploaded templates; extracted career facts, corrections and approvals; job adverts and application records; generated documents; coaching and interview-practice answers; submitted transcripts; operational usage and terms-acceptance records; and messages you send for support or feedback. Hosting and authentication providers also process technical information such as IP addresses and security logs. Minimise third-party and sensitive information in uploads.
Purposes and legal bases
We process the information necessary to provide the service you request on the basis of performing our agreement, including account access, document processing, AI assistance, storage and export. We rely on legitimate interests in proportionate security, abuse prevention, troubleshooting and handling optional feedback, balanced against your rights. We comply with applicable legal obligations and may retain necessary information for an actual dispute. If an optional activity requires consent, we will ask separately and explain how to withdraw it. We do not use your CV for advertising, sell it or train our own AI models with it.
AI, scores and optional voice
When you request AI assistance, relevant CV/evidence excerpts, job context and answers are sent to OpenAI for generation or checking. If you choose voice, your recording is sent for transcription. Microphone access begins only after you choose to record. The app does not persist recordings or unsent draft transcripts in workspace storage or routine logs; submitted answer text is stored. Providers may have separate security/legal retention. You can type instead. AI results can be wrong and are suggestions for your review; the service does not make hiring decisions or submit applications for you.
Recipients and international processing
The beta uses Auth0 for authentication, DigitalOcean for database and private file hosting, Vercel for the frontend and OpenAI for requested AI processing/transcription. Email providers process support correspondence. Authorised operator access may be necessary for support, security and administration. Provider infrastructure, support or subprocessors may process data outside the EEA; applicable safeguards can include adequacy decisions or standard contractual clauses. Contact us for the arrangements applicable to your data. Amsterdam storage does not mean all processing stays in the EU. We do not claim that a request setting such as store:false removes every provider retention obligation.
Retention
We keep workspace data while your account is open until you delete it, and review continued necessity annually. Operator-controlled application logs and backups are limited to 30 days. Support/feedback correspondence is kept for 90 days after resolution. If the service permanently ends, remaining beta account/workspace data is removed within 30 days. Provider security/legal retention is governed separately and may differ. Actual legal obligations or disputes may require justified exceptions; contact us for details.
Workspace deletion and account erasure
Delete workspace removes your live documents, facts, applications and workflow history, but keeps your login, terms acceptance and necessary usage/account records. Delete account requests removal of the beta Auth0 login and linked application data. Access closes immediately; completion can take longer while active work drains or a provider retries. Operator-controlled workspace backups expire within 30 days, and deletion records are applied before a restore is reopened. Minimal protected records of completed deletions, including the independent deletion journal, expire 30 days after completion. Unresolved deletion requests remain until resolved. Provider-controlled operational and security logs follow separate supplier retention policies and may remain after account deletion. Anonymous aggregate spending totals may remain and do not contain your documents or identify your account. Deleting the beta account does not delete an external identity-provider account such as Google.
Your rights
You may request access, correction, erasure, restriction, portability and, where applicable, object to processing or withdraw consent. Export my data and account deletion are available in the app. Email hello@yournewjob.app for other requests; we may reasonably verify identity. We normally respond within one month, with any lawful extension explained. You can complain to the Dutch Autoriteit Persoonsgegevens at autoriteitpersoonsgegevens.nl or another competent supervisory authority. Providing account information is necessary for access; uploads and voice are optional, but the related features need their inputs.
Security and updates
We use authenticated access, private storage, ownership checks and encrypted transport. No service can guarantee absolute security. Routine logs should contain operational metadata rather than CV text, recordings or credentials. We publish material privacy changes here and notify users through the service where appropriate.
